Move off the stock book

A paper stock book works until it does not. It cannot add up what is left, it cannot warn you before you run out, and once the numbers and the shelf stop matching, people stop trusting it. The slow losses that follow, stockouts on your best sellers, cash tied up in dead stock, items that quietly go missing, are exactly the ones that are hardest to see.

Xentaa keeps your products, stock levels and purchasing in one place, and updates the count as you sell and as you receive new stock. That one change removes most of the guesswork.

What Xentaa stock management does

  • Real-time stock levels. For the products you choose to track, every sale reduces stock and every delivery adds to it, so what the system shows is close to what is on the shelf.
  • Avoid overselling. You can see what you have before you sell it, so you do not promise stock you no longer have.
  • Purchasing and suppliers connected. Purchase orders, goods received and supplier payments are linked, so you can see what you bought, what arrived, and what you still owe each supplier.
  • Products and services. Track stock for the items that need it, and sell services or other items that do not.
  • Each business kept separate. On plans with more than one business, each one keeps its own stock, so a second shop does not confuse your numbers.

A simple way to start

You do not need to digitise years of history. Pick a slow day, count what you have now, and enter it as your opening quantities. Then record sales and purchases as they happen so the count stays honest. Within a few weeks you will see which products carry the shop and where the small losses were hiding. We go deeper in Why Ugandan retailers lose money to the stock book.

Part of your whole business

Stock lives in the same workspace as your point of sale, your customers and suppliers, your accounts, and monthly payroll. One sale updates your stock and your books at the same time.

Common questions

Do I have to track stock for every product?

No. You choose which products to track. Items that do not need stock tracking, like services, can still be sold without it.

Does stock update when I sell?

Yes. For tracked products, each sale reduces stock and each delivery adds to it automatically, so your count stays current.

Can I manage more than one shop?

Yes. On plans that support more than one business, each one keeps its own stock in its own workspace.
